Automation or AI

Most of the work is a rule: if this happens, do that. AI is for the step that needs judgment. We say which is which in writing after we see how a small or mid-size healthcare group actually runs.

Automation when

  • The same job happens every time, with a clear trigger.
  • The data already lives in systems you pay for.
  • A person is the glue between two screens.

AI when

  • A record needs classifying, extracting, or a first draft.
  • The next step is not a simple if-then.
  • A person still reviews anything that touches care or claims.

Trigger

A booking, a form, a status change. Work starts without someone moving it between systems.

Branch

Filters so junk does not fan out. One job per workflow, named so the next person can follow it.

Alert

A silent miss does not sit for a week. Someone hears about it the same day it happens.

Handover

Tested on messy data, documented so your team can run it without calling us first.

The work should move once

In a small or mid-size healthcare group, front desk, billing, and clinical staff still re-enter the same person into scheduling, records, and claims. We connect those systems so a job moves through them once.

Where a rule is enough, we automate it. Where a person is reading, classifying, or drafting, we add AI, with a review step on anything that touches care or money.

We are not here to rip out a working records system. If it works, it stays. We wire what you already pay for, and we say so when a tool is the wrong one.

n8n when you need it

Some workflows belong on n8n: self-hosting, custom code, or volume where per-task billing starts to hurt. We design those, host them safely, and keep them running when a vendor API changes. It is one tool we use, not the name of the service.

System connections

Scheduling, records, billing, and intake talking without a person in the middle.

AI on the messy step

Extract, classify, or draft, with a human review where it matters.

Alerts and handover

A failed step tells someone the same day, and every workflow leaves with a written owner.

n8n for the heavy jobs

Self-hosted or high-volume workflows when the numbers say so. Not a default, a recommendation.

Questions we get before a build

Automation for the same job every time, with a clear trigger. AI for the step that needs judgment: classify, extract, or draft. A person still reviews anything that touches care or claims. We say which is which in writing.
